Festicup rents out cups and washes them itself


Festicup rents out and sells reusable cups to events and runs its own washing centre for them. The company was founded in 2017 to get rid of the plastic waste that events produce.

A team of about ten keeps that flow going: cups go out to an event, come back dirty, are washed and go out again. The washing centre handles up to 500,000 cups a day.

WHY THEY MOVED

Software that was expensive and did not grow with them


Festicup had implemented SAP Business One shortly before. That implementation was expensive and gave little back: the rental flow and the washing centre did not fit into it without building everything again.

When it became clear that every extension called for a new budget, they started looking for software with a clear price per user and modules that connect to each other.

WHAT WE BUILT

Five processes in Odoo, with the washing centre alongside


We started with one conversation and one proof of concept, so Festicup could see beforehand how their rental flow would run in Odoo. Only after that did the project start.

Sales, rental, finance, production and inventory

The five processes sit in the same environment, together with the website, which is built entirely in Odoo.

Prices that follow from the purchase price

The sales price is calculated from the purchase price, so a price change at the supplier does not have to be passed on by hand.

A rental flow with service items on the order

The standard rental process is adapted so that washing and transport appear as service items on the same order.

A separate application for the washing

Alongside Odoo runs an in-house application for the washing process and the stock transactions that belong to it.

Signing and paying in the same step

Customers view their quotation online, sign it and pay right away.

WORKING TOGETHER

Three intense months, and seven more after that


Up to go-live it was three very intense months. After that we worked on extensions for another seven months, with the same people who had done the implementation.

Those extensions come from the shop floor: what stands out during a season is discussed and turned into the next round. The next step is already on Festicup’s own agenda, tracking cups with RFID.

WHAT CHANGED

From quotation to invoice takes less time


Because customers sign online and pay right away, the time between quotation and invoice has become shorter and fewer invoices stay open after an event.

Festicup now tracks how many cups have been washed and how many have been lost. That supports the forecasts, the inventory management and the settlement with the organiser.

RESULT

The implementation has led to significant time savings, particularly from quotation to invoice, and has improved Festicup’s operational efficiency.
