Privacy policy
BeyondERP BV processes personal data of visitors to this website, of customers, and of people who apply for a job with us. Below you will find which data that is, why we need it, how long we keep it and what you can do about it. Version of 16 September 2026.
Who processes your data
BeyondERP BV is the controller for the personal data collected through this website and in our projects. We have not appointed a data protection officer; questions about this policy reach us directly. Our details are at the bottom of this page.
What data we collect, and why
When you fill in the contact form
You give us the subject of your question, your name, your company, your email address, optionally your phone number, and the question itself. We use that data to answer you and, if a project comes out of it, to prepare a proposal. The basis is your own request: the steps that precede an agreement.
When you schedule a conversation
If you schedule a conversation through the calendar on this site, we keep your name, your email address and the time slot you picked. The appointment lands in the calendar of the colleague you are speaking with.
When you submit a ticket
Customers with a support arrangement submit their questions through the ticket form. We record who asks the question, which company and which system it concerns, and what we did about it. We need that to carry out the agreement.
When you email or call us
Email and telephone run outside this website. The data you share there is handled the same way as the data from a form.
When you apply for a job
We use your CV and your motivation only for the role you are applying for. If we want to keep your details longer for a future vacancy, we ask your permission separately.
When you only browse the site
Our hosting partner keeps the technical data every web server needs: your IP address, the time and the page you request. We also measure how the site is used with Google Analytics, but only after you agree to that in the cookie bar. Exactly what is placed is set out in our cookie policy.
How long we keep data
- A contact request that does not lead to a project: two years after the last contact.
- Customer records, quotations and project files: for as long as the cooperation runs, and seven years after that, because accounting law requires it.
- Support tickets: for as long as the agreement runs, and two years after that.
- Job applications: up to twelve months after the end of the procedure, unless you allow us to keep them longer.
- Measurement data in Google Analytics: fourteen months.
After that we delete the data or make it anonymous.
Who else sees your data
We do not sell data and we do not pass it on for third-party advertising. We do work with service providers that process data for us:
- Odoo S.A. supplies the platform this website and our own business application run on, and hosts them on Odoo.sh.
- Google supplies Google Analytics, which we use to measure how the site is used, and our business email and documents.
With every processor we agree what may happen to the data. We also share data with our accountant, and with a public authority or a court where the law obliges us to.
Data outside the European Union
The hosting of this website and of our business application is in the European Union. Google may process data on servers outside the EU. That happens on the basis of the European Commission standard contractual clauses and the EU-US Data Privacy Framework.
How we secure your data
Traffic with this website is encrypted. Access to our systems runs through personal accounts, and only those who need the data for their work get access. Our hosting partner takes care of backups and security updates. A breach that poses a risk to the people concerned is reported to the supervisory authority within seventy-two hours.
Your rights
You can ask at any time to see your data, to have it corrected or to have it erased. You can have the processing restricted, object to processing that rests on our legitimate interest, request your data in a readable format, and withdraw a consent you gave earlier.
Send your request to the email address at the bottom of this page. We respond within one month, the period the law provides. To avoid handing data to the wrong person, we may ask you to identify yourself.
If you disagree with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels. If you live in the Netherlands, you can turn to the Autoriteit Persoonsgegevens.
Changes
We adjust this policy when our way of working or the rules change. The version date is at the top of this page.
